The New Forest LEADER Programme is committed to protecting and respecting your
privacy. For the purpose of the 2018 General Data Protection Regulation, the Data
Controller is New Forest District Council, Appletree Court, Beaulieu Road, Lyndhurst,

When you contact the New Forest LEADER Programme we will ask you for certain personal
information in order to be able to assist with your enquiry. Some of this information will need
to be recorded and stored on our systems. This Privacy Notice aims to explain:

1. What type of personal data do we process
When you contact the New Forest LEADER Programme we collect certain personal
information from you, for example: your name, your job title, your telephone numbers,
your full address, your email address, company name, website address, Twitter
handle and Facebook address.
Information we may collect from you whilst you are using our web services
We may collect information about your computer including your IP address, traffic
data, location data, weblogs and other communication data operating system and
browser type, for system administration. This is statistical data about our users’
browsing actions and patterns, and does not identify any individual.
For the same reason, we may obtain information about your general internet usage
by using a cookie file which is stored on the hard drive of your computer. They help
us to improve our site and to deliver a better and more personalised service. To find

The type of information we collect will depend on the service you are requesting.

We use your information in a variety of ways:
• To process your enquiry/request
• To contact you with regard to your enquiry/request.
• To check your identity when you contact us
• To help us investigate any concerns or complaints that you may have about
services that you receive from us
• To record the number of LEADER enquiries received
3. How we store your data
The information we collect is recorded and then stored on our secure servers. Where we
have given you (or where you have chosen) a password which enables you to access
certain parts of our site, you are responsible for keeping this password confidential. You
must not share a password with anyone.
We take every precaution to ensure data is safe and secure however we cannot guarantee
the security of your data transmitted to our site; any transmission is at your own risk. Once
we have received your information, we use strict procedures and security features to try to
prevent unauthorised access.
How long will we keep your information?
Local Action Group Members
We will keep Local Action Group members information for as long as they remain members
of the group. If they decide they no longer wish to remain a member their information will be
removed within 30 days of the request being received.
Project Applicant Information and General Enquiries
New Forest LEADER may also maintain a list of people who have expressed an interest in
receiving regular updates on the programme – this is an opt- in service. The information
below will assist you in understanding if you opt in to receiving marketing, what
communications we send, how you can notify us of changes in your preferences and how to
unsubscribe.
Email newsletters – the LEADER e-newsletter provides updates on the programme,
highlights successful applicants and sign-posts businesses to sources of support and advice
offered by our partner organisations.
Should you wish at any time to unsubscribe you can do so by clicking ‘unsubscribe’ button
which can be found on all of the LEADER e-newsletters. Alternatively you can contact the
LEADER Programme Office at Contact@newforestleader.org.uk to unsubscribe.
The information on our CRM system is retained for 3 years before being deleted.
4. Why we process your data
We need to process your data in order to provide you with the services that you are
requesting such as:-
• If you wish to find out more about the New Forest LEADER Programme we need to
record your information to be able to contact you.
• To process grant applications to the New Forest LEADER Programme.
• To administer contracted projects in receipt of a LEADER grant and undertake
ongoing monitoring of project delivery.
• To keep you updated on the New Forest LEADER Programme and to seek feedback
from you on the services we provide
5. When and why we share your information
Sometimes, in order to process your enquiry/request we need to share the
information that you give us; either with other departments within New Forest District
Council or with our service providers, associated organisations and agents for the
above purposes (New Forest LEADER Local Action Group, the Managing Authority:
DEFRA and our web master; Northerwood Systems Ltd).
We WILL NOT share your information with any external party for marketing or
promotional purposes.
Who has access to your information?
Below is a list of the most common teams or departments that we share information
with; this is not an exhaustive list, and information may need to be shared with other
teams or services within NFDC and Government Agencies (that are not listed below)
in order to process your enquiry/request.
- New Forest District Council Economic Development Team: Information that you supply us, and contact details that we take form you and store on our system can be accessed by staff in the Economic Development Team in order to keep you updated on the programme; wider Economic Development information and updates; and to seek feedback on the services we provide.
- The Department for Environment, Food and Rural Affairs (DEFRA): Information that you supply us, and contact details that we take form you and store on our system can be accessed by staff in DEFRA in connection with your application for LEADER grant and if applicable processing any LEADER grant claim.
- The Rural Payments Agency: Information that you supply us, and contact details that we take form you and store on our system can be accessed by staff in the Rural Payments Agency in connection with your application for LEADER grant and if applicable in processing any LEADER grant claim.
- New Forest LEADER Local Action Group: Information that you supply us, and contact details that we take form you and store on our system can be accessed by members of the New Forest Local Action Group in connection with your application for LEADER grant
- Northerwood Sytems Ltd: Information that you supply us, and contact details that we take form you and store on our system can be accessed by Northerwood Systems Ltd in their capacity as website developer and host.
- Other Government Agencies Information that you supply us, and contact details that we take form you and store on our system can be accessed by staff in other government agencies in connection with your application for LEADER grant and if applicable in processing any LEADER Grant payment.
6. What are the legal grounds for processing your information?
a) Where it is in the public interest to do so
b) In order to comply with a legal obligation
c) Where it is in the legitimate interest of NFDC to do so
d) With your consent or explicit consent. If you wish to withdraw this consent, you can
do so by contacting us at the address above or on:data.controller@nfdc.gov.uk
We work hard to ensure that we only gather information that we need to process your
enquiry and deliver the services that you are entitled to in the best way possible. However, if you have any concerns relating to this or your Privacy in general, please email our Data
